Applicable to all services provided by Cevian Labs

This Privacy Policy describes how Cevian Labs ("Cevian Labs," "we," "us," or "our") collects, uses, protects, and discloses information related to our suite of academic data services, including CVParsa and COI Pond (collectively, the "Services"). This Policy is incorporated into, and governed by, the respective End-User License Agreements (EULA) or Terms of Service for each product.

1. Scope and Consent

By accessing or using our Services, you confirm that you have read and understood the terms of this Privacy Policy and any service-specific EULA, and consent to the collection and use of your information as described herein.

2. Information We Collect

We collect two main types of information from Users:

a. User and Account Information:

• Contact and Billing Information: Name, institutional affiliation, email address, and any billing related information provided during the use of a Service.
• User-Provided Supplemental Data: Files that are uploaded and information that is entered directly as part of using a Service.
• Usage Metadata & Network Data: IP addresses, browser types, and volume of processing jobs, and metadata related to the use of any specific Service, collected for security and service optimization.

b. Input Data and Enrichment:

This refers to the CVs, application dossiers, and related documents uploaded to our services.

• User-Provided Content: Names, educational/employment history, publication records, and other data contained within academic dossiers, as well as the dossier or CV itself.
• Publicly Sourced Data: For certain services, we augment Input Data with publicly available information from the web. While uploaded files remain confidential, the search queries generated to find this supplemental information utilize public identifiers.

3. How We Use the Collected Information

Our use of data is strictly limited to the purposes defined in each service-specific EULA. Our goal is to retain as little data as possible in order to provide high-quality service, and to improve those services for future users.

a. For Service Provision and Improvement:

• To process the Input Data and generate the requested Output Data for the User.
• To continuously analyze and improve the functionality, accuracy, and performance of our Services and their underlying algorithms.
• To manage any User account or license, to provide support, and to enforce our EULA terms.

4. Data Confidentiality, Sharing, and Security

a. Data Confidentiality and Sharing Restrictions:

• Confidentiality: Cevian Labs treats all Input Data as confidential. We do not sell or rent your data to third-party data brokers or recruiters.
• Internal Training: Because CV data is inherently identifiable, it cannot be anonymized while also providing our services. However, we commit to a Purpose Limitation for Input Data from Free Services: this data will not be released publicly or provided to third parties for their own commercial use.
• No External AI Training: Your data is never used to train third-party AI models (such as those owned by large language model providers) for their benefit.
• Third-Party AI & APIs: We utilize third-party AI processors and external databases to fulfill the Services. While our AI processors operate under zero-retention agreements for all users, we utilize limited data snippets to query external registries for verification and enrichment purposes.

• Confidentiality: Cevian Labs treats all Input Data as confidential. We do not sell or rent your data to third-party data brokers or recruiters.
• Internal Training: As a condition of the Free Service tier, Cevian Labs may use de-identified Input Data and resulting Output Data to train, test, and improve our proprietary algorithms and future product offerings.

b. Law Enforcement and Legal Compliance:

We may disclose information if required to do so by law or in the good faith belief that such action is necessary to comply with legal processes (such as a subpoena or court order), or to protect and defend the rights or property of Cevian Labs.

c. Data Retention:

Retention periods depend on the service tier:

• Paid Services: We generally retain Input and Output Data for 30 days for user convenience, after which it is deleted.
• Free Services: In exchange for free access, we may retain Input Data and Output Data for an indefinite period to support the ongoing training and improvement of our internal models. Users who wish to have their data deleted may contact us. Such an election will terminate their access to the free service history, and shall apply only to the raw Input Data and not to any improvements already integrated into Cevian Labs' internal models.
• AI Vendor Retention: Regardless of tier, data sent to our AI subprocessors is subject to zero-retention and is deleted by those vendors immediately following the processing session.

d. Security:

We implement reasonable and industry-standard technical, administrative, and physical security measures designed to protect Input Data from unauthorized access, use, or disclosure. However, no internet transmission is 100% secure, and we cannot guarantee absolute security.

5. Compliance and Responsibilities of the User

The User warrants that it has all necessary legal rights, consents, and permissions to submit the Input Data to our Services, and that such submission complies with all applicable institutional policies and data privacy laws (Section 3.a of EULA). The User is solely responsible for ensuring the legality of transferring the Input Data to Cevian Labs.

6. Changes to this Policy

We reserve the right to modify this Privacy Policy at any time. If we make material changes, we will notify you by updating the Effective Date and posting the revised Policy on our website. Your continued use of the Service constitutes your acceptance of the revised Policy.
